The Allocations section in AV1 Admin is designed to help administrators monitor and track the performance of AV1 robots in various educational settings. This guide will walk you through the key components of the feature, from managing active allocations to analysing completed ones.

Active Allocations

The Active Allocations section in AV1 Admin allows you to manage and track the real-time performance of ongoing AV1 allocations. This feature provides valuable insights into current AV1 usage, making it easy for administrators to identify trends, monitor engagement, and ensure the smooth operation of AV1 robots.

Data points available

  • School/Main Assistant: View the primary point of contact for each allocation.
  • Reason for use: Understand the context for the AV1’s use (e.g., medical reason, school non-attendance).
  • Start date: Track when each AV1 allocation began.

Key Usage Indicators

The Active Allocations section provides a variety of usage statistics that help you monitor how engaged each AV1 is:

  • Total streaming time in this period: Track how many hours the AV1 has been actively used.
  • Last used: Know when the AV1 was last connected.
  • Percentage change in usage vs last period: See how the AV1’s streaming time compares to previous periods, helping you spot trends in engagement.

These indicators allow you to quickly identify allocations that may need extra support or attention, such as those where streaming has dropped off or hasn’t occurred in a while.

Time period filters

  • Customisable timeframes: View data over the last 7, 14, or 28 days, or set a custom time period.

Filtering options

You can apply filters to focus on specific allocations. Filter by:

  • School
  • Reason for use
  • Education level

Exporting data

The data in the Active Allocations section can be exported into a CSV file for reporting purposes. Exporting your data allows you to generate detailed reports, share insights with stakeholders, or conduct further analysis using other tools.

Aggregated data

In addition to individual allocation statistics, the Active Allocations section also provides aggregated numbers that summarise overall performance:

  • Total number of active allocations: The total number of AV1s currently in use.
  • Average session duration: The average length of each AV1 session.
  • Total streaming time: The total duration of all streaming sessions in the selected time period.
  • Breakdown by reason for use and educational level: A summary of the reasons for AV1 usage or the educational levels being supported.

Aggregated data helps you assess the overall impact of your AV1 program and track trends at a broader level, enabling more informed decision-making.

Completed Allocations

The Completed Allocations section provides detailed records and insights into AV1 allocations that have ended. This section is invaluable for reviewing the performance of AV1 robots over their lifetime and understanding the overall impact they’ve had on students.

Overview of Completed Allocations

This section provides a historical record of all previously completed allocations, including the following key details:

  • Allocation Name: The identifier or name given to the specific allocation.
  • School: The institution where the AV1 was used.
  • Reason for use: The purpose behind the AV1’s deployment.
  • Education level: The grade or educational level of the student supported.
  • Start and End dates: The timeline for the allocation.
  • Duration: The total length of the allocation.

This overview allows you to easily reference past allocations for reporting or review purposes. You can track how long the AV1 was in use and the context in which it was deployed.

Usage data for Completed Allocations

  • Total streaming time: How long the AV1 was in use over the course of the allocation.
  • Average streaming time per week: Provides insights into how consistently the AV1 was used throughout the allocation.

This data point is determined by dividing the total streaming time of the AV1 by the number of weeks in the allocation period. For this calculation, we consider a "week" as any grouping of 1 to 7 days. This method gives a straightforward understanding of how consistently the AV1 is being used across the duration of the allocation, regardless of whether the allocation spans a partial or full week.

Impact data

  • Mission Assessment: See whether the allocation was evaluated as successful when the allocation was ended.
  • Returned to School: Check whether the student returned to school after using the AV1.

Filtering options

Just like active allocations, completed allocations can be filtered by school, reason for use, education level, mission assessment, or returned to school status.

Exporting data

Export all relevant data into a CSV file for analysis or reporting.

Aggregated data

Get an overall view of:

  • Total number of completed allocations
  • Average session duration
  • Total streaming time across all completed allocations
  • Breakdown by educational level, reason for use, and mission assessment

Monitoring usage for individual AV1s

Navigate to an allocated AV1 and you will find a graphical representation of the total time it has spent streaming in the allocation analytics data panel, which enhances your ability to spot patterns at a glance.

Daily, Weekly, or Monthly View

The usage data graph can be adjusted to show streaming time in daily, weekly, or monthly intervals:

  • Daily View: Offers a more granular analysis, allowing you to spot day-to-day fluctuations.
  • Weekly View: Provides a broader perspective on usage trends over the course of 8 weeks.
  • Monthly View: Useful for long-term analysis, showing overall usage patterns over a year.

These different views help you understand usage from both a detailed and high-level perspective, giving you the flexibility to dig into specific periods or view overall trends.

Exporting usage data

At any point, you can export the usage data from the panel into a CSV file for further reporting or sharing with stakeholders. This feature is available for both individual AV1 allocations and aggregated data across all allocations.

  • Identifying underutilised AV1s: Use this data to find AV1 allocations that may need additional support or follow-up.
